An ERP system brings the processes that live in separate tools and spreadsheets today into one connected whole. An order then changes stock, planning and the figures at once, without anyone retyping that step.

ERP system, ERP software and ERP package all name the same thing. System is the common term. ERP platform is sometimes used for a system others build extensions on, but that is a distinction in the technology, not a different product.

Nearly every mainstream system ticks nearly every box.

Which is why comparing feature lists gets you nowhere: on paper they all score about the same. The difference lies in what works as standard within your way of working, and what only works once it has been adapted.

Two questions split the market: does your sector impose its own way of working, and do you want to run the system yourself. Every other difference follows from those.

Where do ERP systems genuinely differ?

Six differences you can see in a demonstration, and that decide your costs and your freedom after go-live.

That difference is not theory. In the 2026 ERP Report by Panorama Consulting, more than a quarter of organisations reported going over budget, and the most common cause was an unexpected need for additional technology.

  1. What comes as standard, and what you have built

    Nearly every system ticks nearly every box. The question is not whether something is possible, but whether it works as standard within your way of working.

    Every adaptation you have built, you pay for again at every major update.

  2. How the system handles exceptions

    One vendor solves an unusual order inside the standard, another asks for a change. You only see that difference when you bring your own exceptions.

    Test on your hardest order, not on your average one.

  3. How much you can configure yourself

    Some systems let your own people manage fields, screens and reports. With others you need the partner every time.

    That difference drives your cost after go-live more than the licence does.

  4. How integrations come about

    Check whether links to your webshop, warehouse system or machines are available as standard, and who maintains them when either side changes.

    An integration without an owner is an outage waiting for its moment.

  5. The pace at which the vendor changes things

    A cloud system updates on fixed dates whether you want it or not. Self-hosted, you pick the moment but carry the cost of falling behind.

    Both need a standing test round. Only the timing differs.

  6. How many partners can implement it

    A large partner market gives you negotiating room and somewhere to go. With a niche system you depend on a handful of firms.

    Choosing a system therefore quietly narrows your choice of partner.

Which system fits depends heavily on your sector: the developments differ, the common systems differ, and the point at which a system starts to pinch moves with your growth.

How do you get from a long list to three candidates?

Three candidates is workable. More rarely yields more insight, because the demonstrations become too shallow to compare.

  • First record which processes earn the money, and which exceptions in them genuinely occur
  • Establish whether your sector imposes its own way of working, since that decides broad against sector-specific
  • Include a system you have never heard of, or the list only confirms what people already believed
  • Narrow the list on demonstrable fit for your size and sector, not on how familiar the name is

Three works in practice. More candidates rarely produce more insight, because the demonstrations get too shallow to compare.

What matters more than the number is that every candidate gets the same scenario. Otherwise you are comparing presentations, not systems.
